1. Bookings and payments
Reservations
Bookings are made by written request to info@mankasafaris.com. A booking is confirmed only once we have issued a written confirmation and received your deposit. Quotations are valid for 14 days and remain subject to availability at the time of confirmation.
Traveller details
At the time of booking you must give us the full name of each traveller exactly as it appears in their passport, their nationality, and the date of birth of every traveller under 18 years of age. Accommodation and park fees are priced according to the ages supplied. Where an age has been misstated or not disclosed, any additional charge levied by a supplier is payable by you and may be collected directly from the traveller at check-in.
Deposit
A 30% non-refundable deposit of the total safari cost is required at the time of booking. This allows us to secure accommodation, permits, flights and other services on your behalf. Some properties and internal flights require a higher deposit or full prepayment; where this applies we will tell you at the time of quotation.
Final payment
The balance is due no later than 60 days before departure. Some suppliers require settlement earlier; where that applies we will tell you in writing when you book. Bookings made within 60 days of departure are payable in full at the time of booking.
Late payment
If payment is not received by the due date we may treat the booking as cancelled by you, and the cancellation charges below will apply.
Payment methods
- Bank transfer in USD. All transfer and intermediary bank charges are your responsibility; the full invoiced amount must reach us.
- Secure online card payment. A processing surcharge may apply and will be shown before you pay.
- Cash in USD at our office. Only new series notes issued after 2006 are accepted.
Prices and government charges
Prices are quoted in US Dollars and are based on park entrance fees, conservation and concession fees, camping fees, tourism development levies, taxes and exchange rates in force on the date of quotation. Where any of these are increased by the Tanzanian authorities or by a supplier, we reserve the right to pass the increase on to you, including on bookings already confirmed and paid. We will notify you in writing with supporting documentation.
2. Cancellations and changes
If you cancel
Cancellations must be made in writing and take effect on the day we receive them. The following charges apply, calculated on the total safari cost:
Notice given before arrival Cancellation charge More than 90 days Deposit forfeited (30%) 90 – 61 days 40% of total cost 60 – 46 days 60% of total cost 45 – 31 days 80% of total cost 30 days or fewer, or no-show 100% of total cost Where a supplier levies cancellation charges higher than those above, the higher amount will apply. Several of the lodges and camps we use charge 100% from 60 days before arrival, and internal flight tickets are generally non-refundable once issued. Any refund due is calculated after deduction of all non-recoverable supplier charges, bank charges and processing fees.
If you change your booking
- Traveller numbers. Please tell us as soon as possible. A reduction in numbers may increase the per-person price and may attract supplier charges.
- Date changes. Subject to availability. A change requested within 60 days of departure is treated as a cancellation and rebooking. An administration fee of USD 75 per booking applies to all date changes, in addition to any supplier charges.
- Itinerary changes. Any change to accommodation, routing or services is subject to availability and repricing at the rates then applicable.
If we change or cancel
We will always try to operate your safari as booked. Occasionally we may need to make changes — where a property becomes unavailable, a park closes, a road becomes impassable, or an internal flight is rescheduled. Where a change is minor we will notify you and proceed. Where it is significant, you may accept the alternative offered or cancel and receive a refund of all amounts paid, less any non-recoverable supplier charges.
If we cancel your safari for any reason other than your non-payment or a force majeure event, you will receive a full refund of all amounts paid to us. This is the limit of our liability in those circumstances.
3. Travel insurance
Comprehensive travel insurance is a condition of booking and is not optional. Your policy must cover, as a minimum:
- Emergency medical treatment, medical evacuation and repatriation
- Trip cancellation and curtailment, including for force majeure events
- Loss of or damage to personal belongings and baggage
- Travel delay and missed departure
You must provide your insurer’s name and policy number before departure if we request it, and we may decline to carry any traveller who is uninsured. Travellers undertaking Mount Meru, Mount Kilimanjaro or other treks must ensure their policy covers the maximum altitude of the itinerary.
4. Health, safety and special requirements
Health and fitness
Safaris involve long travel days on rough roads and moderate physical activity. Please consult your doctor about vaccinations, including Yellow Fever where required for entry, and about malaria prophylaxis. You must tell us at the time of booking about any medical condition, disability, allergy or medication that may affect your travel or require assistance.
Dietary requirements
We are glad to cater for dietary preferences and allergies given reasonable notice; please tell us when you book. In remote camps the range of alternatives is limited, and we cannot guarantee an allergen-free environment.
Safety
All guests must follow the instructions of their guide and of lodge and park staff at all times. Certain activities carry compulsory requirements — for example, an armed ranger accompanies all treks on Mount Meru. We accept no responsibility for injury, loss or damage resulting from a failure to follow safety instructions.
Wildlife
Our safaris take place in natural habitats where wildlife behaviour is unpredictable. Our guides take all reasonable precautions, but we cannot guarantee sightings of any particular species or behaviour, and no refund is due where a hoped-for sighting does not occur.
Light aircraft
Internal flights to and between airstrips are operated by light aircraft with a strict baggage allowance, normally 15 kg per person in a soft-sided bag including hand luggage. Excess baggage may be refused or charged for, and passenger weights may be requested by the operator. Schedules are subject to change, and flights may be delayed or cancelled by weather.
5. Responsibilities and liability
Your responsibility
You are responsible for ensuring that passports, visas, entry permits and vaccination certificates are valid and in order. Passports should be valid for at least six months beyond your date of entry. We accept no liability for refused entry or for costs arising from incomplete documentation.
Force majeure
We are not liable for any delay, loss, expense or cancellation caused by events beyond our reasonable control, including adverse weather, natural disaster, epidemic, civil unrest, terrorism, strike, airline or airport disruption, road closure, government action or changes to park regulations. In such circumstances we will make reasonable alternative arrangements where possible, but any additional cost is payable by you.
Third-party suppliers
Accommodation, flights, transfers and activities are provided by independent suppliers under their own terms and conditions. We select our suppliers with care and act as agent in arranging their services. We are not liable for the acts or omissions of any supplier, nor for any service not booked through us.
Limitation of liability
Except in respect of death or personal injury caused by our negligence, our total liability arising out of or in connection with your booking shall not exceed the total amount paid by you to Manka Safaris for that booking. We are not liable for indirect or consequential loss of any kind.
6. Complaints
If any part of your safari does not meet your expectations, please tell your guide or the management of the property immediately so that we have the opportunity to put it right while you are still travelling. Most issues can be resolved on the spot.
Any complaint that cannot be resolved during your safari must be submitted to us in writing within seven (7) days of the end of your safari. Our suppliers impose short notification windows on us, and we may be unable to pursue a claim on your behalf if you notify us later than this.
7. Privacy and data protection
To arrange your safari we collect and process personal information including names, passport details, dates of birth, contact details, dietary requirements and, where you provide it, health information. We use this information solely to make and manage your booking, and we share it with the airlines, lodges, camps and authorities that require it in order to provide your safari. Some of these are located outside Tanzania.
We handle personal information in accordance with the Personal Data Protection Act 2022 of the United Republic of Tanzania and, where applicable, the General Data Protection Regulation. We retain booking records for as long as required for legal and accounting purposes. You may request access to, correction of, or deletion of your personal information by writing to info@mankasafaris.com.
Photography
We may occasionally wish to use photographs taken during your safari on our website or social media. We will always ask your permission first, and you are free to decline without affecting your booking in any way.
8. Governing law and agreement
These Terms and Conditions and any booking made with us are governed by the laws of the United Republic of Tanzania. The courts of Tanzania have exclusive jurisdiction over any dispute arising from them. Where any provision is found to be unenforceable, the remaining provisions continue in full effect.
By paying a deposit or confirming a booking, you acknowledge that you have read, understood and accepted these Terms and Conditions on behalf of all travellers in your party, and that you have the authority to do so.
